Data Retention Schedule
Last updated: 18 July 2026
This schedule sets out how long each category of data is kept and what happens when it is deleted. It forms part of our Privacy Notice.
| Data | Kept for | Then |
|---|---|---|
| Account data (name, email, hashed password) | While the workspace is active | Deleted on workspace deletion |
| Portfolio data (properties, landlords, tenancies, compliance items) | While the workspace is active, or until you delete individual records | Deleted on workspace deletion |
| Uploaded documents | While the workspace is active, or until you delete them | Removed from storage on deletion |
| Audit logs and reminder history | While the workspace is active | Deleted on workspace deletion |
| Billing records (invoices, payment history) | 6 years from the end of the relevant tax year | Deleted — retention required by UK tax law (held by Stripe and in our accounts) |
| Support emails | Up to 2 years after the conversation closes | Deleted |
| Server logs (IP addresses, requests) | Up to 90 days | Deleted automatically |
| Encrypted database backups | Rolling window of up to 30 days | Expire automatically — deleted data leaves all backups within 30 days |
Workspace deletion
A workspace admin can permanently delete the workspace from Settings (password plus typed confirmation required). This cancels any active subscription, removes uploaded files from storage, and deletes all workspace records in a single transaction. It cannot be undone. Residual copies in encrypted backups expire within the 30-day backup window; billing records are retained as described above because tax law requires it.
Trial workspaces
Workspaces that never subscribe may be deleted 90 days after the trial ends. We will email the account address at least 14 days before deleting an expired trial workspace.
